What changed, in Jason’s words

Delivery took 14 people and still missed details

Jason Brooks founded UK Linkology in 2009. It is now a well-known name in SEO, with three brands: Linkology for link building, Wordologists for content and Reachology for digital PR. This project covered link building, the most mature part of the business.

Every campaign passes through three teams. Outreach finds the sites, content writes the material for each link, and account managers deliver the campaign to the client.

The company had grown faster than its systems. Staff made mistakes, important details on client campaigns were missed, and some work took several people where one could do it with a cleaner process. Jason saw each point of friction as a risk to client retention and to growth.

The approach: listen to every team, then build

We interviewed people across the business: account managers, content writers and the data team, each with different concerns. Many steps relied on judgment, not fixed rules. Mapping how each team made those calls is what made them possible to automate.

Jason had a project plan early, with a schedule, a budget and the expected return. The operating system came next: orders run through one central workflow, with quality-control checkpoints at fixed stages and performance metrics recorded in the same place. AI automation came last, on the steps people had been doing by hand.

Some staff resisted at first, worried about their jobs. That eased once the interface came together and people could see the time it saved them.

What we built for UK Linkology

  • A central operating system that carries every order from intake to delivery.
  • Quality-control checkpoints at fixed stages, so problems surface before an order reaches the client.
  • Performance metrics recorded in the same system as the work.
  • AI automation for manual steps in the delivery workflow.

The delivery team went from 14 people to 2

  • 14 → 2people needed on one delivery team
  • Double-digitrise in team capacity, without hiring

The delivery team went from 14 people to 2, and team capacity rose by a double-digit percentage without hiring. The system has run reliably, and UK Linkology’s senior people are comfortable relying on it.

Cutting cost was only part of Jason’s aim. He wanted to free people for more skilled work, and the company now plans to apply the same approach to digital PR and content.
