What changed, in Vydūnas’s words

A custom CRM broke with every change

Eco Improvements generates leads in England for the eco grants market, through online marketing and door-to-door sales. It does more than pass leads on: it manages each one through documents and surveys, so every lead has to follow a strict process and none can be lost.

The company ran on a custom CRM built by freelancers. It was fine at the start, but as volume grew it became hard to manage, track and automate. Every change needed the developers, and nearly every change broke something else. Face-to-face sales, online marketing and the team’s chats did not connect, so it was hard to see what was happening in the business, let alone improve it.

The approach: process first, then a system the owner can change

We mapped how the business works, put structured processes in place and built an operating system to carry them. It was built so the owner could change it himself instead of waiting on a developer. Automation came last, once the steps were stable.

Weekly feedback meetings kept the work going after launch. When the team found something missing, such as an email field on a screen, the owner added it in seconds.

What we built for Eco Improvements

  • Structured processes for every lead, from first contact through documents and surveys.
  • An operating system that carries those processes.
  • Automation that connects forms and Dropbox folders to each lead.
  • WhatsApp notifications into the team’s group chats, which other developers had said could not be done.
